Where it runsYour browser — nothing is uploaded

Certificates, proofs and land records are usually capped at 500 KB. A PDF scanned on a phone runs to several thousand kilobytes, because each page inside it is really a large photograph rather than text.

Two ways to make a PDF smaller — use both

The first is to reduce the resolution of the page images, which is what this page does. The second costs nothing and is routinely forgotten: remove the pages the form did not ask for. A three-page record submitted when only one page was requested is three times the size for no reason at all. Use Split PDF to pull out the page you need, then compress that.

Keep the text readable

A file that meets the size limit but cannot be read by the verifying officer is rejected anyway, and you will not be told why. Aim for around 450 KB rather than scraping under 500 — the last fifty kilobytes buy very little and cost a great deal of legibility.

Check the result before uploading. Open it and read the smallest print on the page: an account number, a date, a seal. If you cannot read it, neither can the officer.

What you give up

Reaching a target this small means flattening each page into an image. After that the text can no longer be selected, copied or searched, and any digital signature on the document is lost. For a scanned paper document that costs you nothing. For a digitally signed PDF — an e-PAN, a DigiLocker certificate, a signed gazette copy — it destroys the thing that made it valid.

If the document is digitally signed, upload it as it came. If it is too large as it came, ask the office whether a scanned copy is acceptable instead.

Grayscale halves it

Most certificates are black ink on white paper with perhaps a coloured seal. Converting to grayscale usually cuts the file by half and costs almost nothing in readability. The option is on the panel above.

If it still will not fit

Lower the DPI before lowering the quality. A page rendered at 100 dpi with good quality reads better than the same page at 150 dpi with the quality crushed. And if a document runs to many pages, splitting it and uploading only the relevant one is almost always the right answer.

Frequently asked questions

How do I reduce a PDF to 500 KB?

Lower the resolution of the page images and remove any pages the form did not ask for. Aim for about 450 KB so there is room to spare, and check that the smallest print is still readable.

Will compressing damage a digitally signed PDF?

Yes. Reaching a small target flattens the pages into images, which removes the digital signature. Upload a signed document such as an e-PAN or a DigiLocker certificate as it came.

Can I still select the text afterwards?

No. The pages become images, so the text can no longer be selected, copied or searched. For a scanned paper document this costs nothing.

What is the fastest way to make a PDF much smaller?

Remove the pages you do not need, then convert to grayscale. Together those two steps often do more than any quality setting.
